Terms & Conditions
Madeira Yoga Retreat
27 March – 3 April 2027
These Terms & Conditions apply to all participants attending the Madeira Yoga Retreat organised privately by Maura Explorer and Laurence Belche ("the Organisers"). By booking your place on the retreat, you agree to these Terms & Conditions.
1. Booking & Confirmation
Your booking is confirmed once:
• we receive your completed booking form;
• we receive your deposit of €300; and
• we send you written confirmation by email.
Bookings are accepted on a first-come, first-served basis.
2. Payment
A deposit of €300 is required to reserve your place.
The remaining balance must be paid no later than 60 days before the retreat begins.
If the balance is not received by the due date, we reserve the right to cancel your booking and
retain any applicable cancellation fees.
Participants are responsible for any bank transfer or currency exchange fees.
Please note that the deposit is refundable only if you cancel within 14 days of your original
booking date, in accordance with the cancellation policy below.
3. Cancellation by You
We understand that plans sometimes change.
Deposit Refund
Your €300 deposit is fully refundable only if you cancel within 14 days of your original booking date.
After this 14-day period, the deposit becomes non-refundable.
Cancellation After the 14-Day Deposit Refund Period
If you cancel after the 14-day deposit refund period, all payments made, including the deposit and any balance paid, are non-refundable.
If You Are Unable to Attend
If you are unable to attend due to illness, injury or any other unforeseen circumstance, we
strongly recommend making a claim under your travel insurance policy.
If we are able to fill your place with another participant, we will refund the amounts you have
paid, less any non-recoverable costs and reasonable administrative expenses incurred by us.
Any refund under these circumstances is entirely at the Organisers' discretion and will only be
processed once the replacement participant has paid in full.
Transfer of Booking
You may transfer your booking to another participant, subject to our prior written approval
and provided that all outstanding payments have been received.
4. Cancellation by the Organisers
The retreat requires a minimum of six (6) participants to operate.
If this minimum number is not reached, the Organisers reserve the right to cancel the retreat.
In this event, participants will be notified as soon as reasonably possible and, where practicable, no later than 60 days before the retreat start date.
In the unlikely event that we must cancel the retreat due to insufficient participant numbers, unforeseen circumstances, government restrictions, natural disasters, or other events beyond our reasonable control, all payments received by us will be refunded in full.
Our liability is limited to refunding the amounts paid directly to us for the retreat.
We cannot reimburse any costs paid by participants to third parties, including but not limited
to flights, travel insurance, visas, airport transfers, independently booked accommodation, or any other travel-related expenses.
5. Accommodation
Accommodation will be provided as described in the retreat information.
Room allocations will be made according to your booking selection and availability.
Where shared accommodation has been booked, we will make every reasonable effort to
match participants appropriately, but cannot guarantee compatibility.
6. Travel
Participants are responsible for arranging:
• flights;
• passports and visas (where applicable);
• airport transfers unless otherwise stated; and
• all personal travel arrangements.
The retreat price does not include flights unless expressly stated.
7. Travel Insurance
We strongly recommend that every participant purchases comprehensive travel insurance
covering:
• trip cancellation;
• medical expenses;
• emergency evacuation;
• personal belongings; and
• travel delays.
As payments for the retreat are generally non-refundable after the 14-day deposit refund period, participants are responsible for ensuring that their travel insurance provides adequate cancellation cover, including cancellation due to illness, injury or other unforeseen circumstances.
The Organisers are not responsible for losses that would otherwise be covered by travel insurance.
8. Health & Participation
By attending the retreat, you confirm that you are physically and mentally fit to participate in
yoga classes and any optional activities.
You agree to inform the Organisers of any medical conditions, injuries, allergies or health
concerns that may affect your participation.
Participants are responsible for listening to their own bodies and modifying or stopping
activities whenever necessary.
9. Liability
Participation in yoga classes, hiking, swimming, excursions and all other retreat activities is
entirely voluntary.
While every reasonable care is taken to provide a safe environment, participation involves
inherent risks.
The Organisers shall not be liable for:
• personal injury except where caused by proven negligence;
• illness;
• accidents beyond our reasonable control;
• loss, theft or damage to personal belongings; or
• delays or cancellations by airlines or other travel providers.
The Organisers' total liability shall not exceed the total amount paid by the participant for the retreat.
10. Personal Belongings
Participants are responsible for the security of their personal belongings throughout the retreat.
We recommend that unnecessary valuables are not brought to the retreat.
11. Photography
During the retreat, photographs and videos may be taken for future promotional purposes,including on websites and social media.
If you prefer not to appear in any photographs or videos, please let us know before the retreat begins and we will fully respect your wishes.
12. Data Protection (GDPR)
We collect only the personal information necessary to organise and operate the retreat safely.
Your information will only be used for:
• booking administration;
• communication regarding the retreat; and
• emergency contact where required.
Your personal information will never be sold or shared with third parties except where
required by law or where necessary in an emergency.
You may request access to, correction of or deletion of your personal information at any time
in accordance with applicable data protection laws.
13. Force Majeure
Neither the Organisers nor participants shall be liable for any failure or delay in performing
their obligations where this results from events beyond their reasonable control, including but
not limited to natural disasters, severe weather, pandemics, government restrictions, strikes,
civil unrest or other unforeseen events.
14. Acceptance of Risk
By attending this retreat, you acknowledge that participation is voluntary and that you accept
the normal risks associated with yoga, movement practices, hiking, swimming, outdoor
activities and international travel.
You agree to participate responsibly and to follow all reasonable safety instructions provided
by the Organisers.
15. Governing Law
These Terms & Conditions shall be governed by and construed in accordance with the laws of Portugal.
Any dispute arising out of or in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the Portuguese courts.
16. Changes to the Programme
While we will make every effort to deliver the retreat as advertised, the Organisers reserve the
right to make reasonable changes to the retreat programme where necessary. This may include
changes to the schedule, yoga teachers, accommodation, excursions, activities, meals or other
aspects of the retreat due to weather conditions, safety considerations, local circumstances,
venue requirements, participant wellbeing, or events beyond our reasonable control.
Such changes do not constitute a significant alteration to the retreat and shall not entitle
participants to cancel their booking or receive a refund.
Acceptance
By submitting your booking form and making payment, you confirm that you have read,
understood and agree to be bound by these Terms & Conditions.
